Every crop calendar shifts a little from one season to the next. Here is how our sourcing team plans aggregation windows, intake checks and warehouse space around the harvest.

Harvest is the busiest period in an agricultural trading business, and it is also the least forgiving. Crops arrive in a compressed window, moisture levels vary from one delivery to the next, and warehouse space that looked generous in the off-season fills quickly. Planning for that window begins long before the first consignment reaches an aggregation point.

Our sourcing team starts by mapping the expected crop calendar for each commodity we handle. Tanzania's growing regions do not harvest simultaneously — altitude, rainfall pattern and whether a farm is rain-fed or irrigated all shift the timing. Building that variation into the plan is what allows aggregation to be spread across several weeks rather than concentrated into a few chaotic days.

The second step is engagement with the farmers and small-scale suppliers we buy from. Ahead of each season we confirm which commodities and grades we expect to purchase, the condition in which produce should arrive, and how deliveries will be weighed and recorded. Clear expectations at this stage prevent disputes later and give growers a realistic view of what they can plan around.

Intake quality control is where a season is won or lost. Every delivery is checked on arrival for moisture, foreign matter, damaged or discoloured grain and the general condition of the consignment. Produce that does not meet the intended specification is not quietly mixed into a larger lot — it is separated, recorded and either reworked through cleaning and sorting or directed to a use where the specification is appropriate.

Storage planning runs in parallel. Warehouse allocation, stacking, pest-control measures and stock rotation all have to be decided before the first bags arrive, because retrofitting a plan onto a full warehouse is far harder than building it in advance. Batch identification is applied at intake so that any lot can be traced back to its intake record.

For buyers, the practical implication is timing. Availability of a given commodity, grade and volume is at its most flexible shortly after harvest and narrows as the season progresses. Buyers with a firm requirement for the coming months are encouraged to share their product, grade, volume and destination early so that supply can be planned rather than improvised.
